Job Description

Under supervision, the Service & Support Representative will perform a variety of duties relating, but not limited to, Service Department payroll, billing, scheduling, spreadsheet maintenance and other job-related duties as may be assigned. This position is also responsible for assisting the Asset Management Department as well as responsible for serving as back-up for reception/front desk duties when needed.  

Major Duties and Responsibilities:

  • The Service & Support Representative must be able to perform work duties as assigned and have a practical understanding of the following responsibilities and tasks:

  • Work Order Entry & Customer Service

  • Payroll: 

    • Responsible for weekly time-card collection and payroll processing of Service Department employees and back-up payroll responsibilities for other departments as needed.

  • Billing: 

    • Responsible for weekly and monthly pre-billings and billings of Service Department and Sheet Metal Department activities including, but not limited to; work-up of invoices, maintenance of billing spreadsheets and maintenance of billing charts. 

  • Accounts Payable: 

    • Entry of accounts payable

  • Meeting Organization: 

    • Coordinate and prepare information for weekly Service Department and Sheet Metal Department meetings through the maintenance and upkeep of all pertinent spreadsheets/documents.

  • Spreadsheet Maintenance: 

    • Responsible for maintaining all other Sheet Metal and Service Department spreadsheets not mentioned above.

  • Other duties: 

    • The Service & Support Representative serves as the first line of reception for incoming phone calls and visitors to the office.  Primary contact for office and cleaning supplies, mail, postage, etc. 

 

Organizational Relationships:

This position will directly report to the Controller. There will be frequent interaction with the Service Project Manager and Service field employees, as well as regular interaction with all other office personnel.  

Qualifications

Experience and/or Educational Requirements:

  • High School Diploma required.

  • Experience in a construction-based industry, preferred.

  • 2+ years’ experience in an accounting or service department role, a plus.

  • Must be extremely organized and detail-oriented.

  • Ability to multi-task while continually ensuring accuracy.

  • Proficient in Microsoft Suite.

  • CAD/Bluebeam experience, a plus.

  • Ability to communicate effectively and professionally with all internal and external levels of the organization.

Must be able to work and perform what would be considered standard practices for this type of position in the industry.
